Car Rental Conditions

What does the daily rental charge include?
• Collision Damage- and Theft Insurances
• Personal Accident Insurance
• Unlimited Kilometres
• All Airport and Location Surcharges
• Value Added Tax at 15%

What is excluded in the daily rental charge:

• N$45 contract fee per rental
• Fuel
• N$5 Stamp duty
• Refundable deposit for excess liability
• N$2000 refundable deposit for fuel and possible extras incurred while renting.
• Cover for undercarriage and water damage, tyres, rims and glass

Optional Equipment:

• N$450 per child / baby seat per rental (0-5 years)
• N$750 per rental for second spare wheel (sixth wheel)

Optional Services / Extras:
• N$220 per additional driver per rental
• N$155 daily young driver surcharge for drivers below 23yrs (minimum age is 21)
• One Way fees 151-500km = N$1800 and 501-1200km = N$2200 and 1201+km = N$3300
• International one way rentals: N$5’000 from Namibia to South Africa or Botswana
• N$235 charge for delivery or collection within office hours (8AM – 5PM) and N$400 for after hours, weekends and holidays for vehicles delivered or collected in a 25km radius from the nearest rental branch.
• N$235 plus N$9.00 per km will be charged for deliveries or collections that are outside a 25km radius of the rental branch.
• N$550 non-refundable fee for rentals crossing into Botswana, Swaziland and Lesotho and N$1300 for crossing into Mozambique and Zambia (no charge for crossing into South Africa)
• Extension rates, which are available on request
• N$220 administration fee for any traffic offences
• N$550 claim administration fee in the event of accident or theft (only for Super Cover rentals)

CAR RENTAL CONDITIONS:
Car Rental Services merely act as agents for various rental companies. Your car hire is subject to the below terms and conditions which are subject to change without prior notice. By making a reservation with Car Rental Services you are agreeing to these conditions. When picking-up your car you will also have to sign the car rental company’s standard rental agreement. All car rental rates are subject to availability at the time of Car Rental Services making the reservation with the car rental company. The daily rates are calculated strictly in cycles of 24 hours from time of pick-up to the time of drop-off. An extra day will be charged if the vehicle is returned late.

Reservation procedure:
• Car Rental Reservations can be placed telephonically, via email or fax.
• Please note that we are not liable for any disputes arising from telephonic car hire reservations.
• After having received your reservation request we will book your vehicle with the car rental company
• Once your reservation has been confirmed we will send you a confirmation voucher with the car rental details.
• Please note that although we can request a specific vehicle model in a given category we can at no time guarantee the availability of such a model.

Vehicle pick-up and car hire payment procedure:
• At the pick-up location you have to present the confirmation voucher together with your driver’s license, ID or passport and credit card.
• Any additional drivers must also present their driver’s licenses and ID’s or passport documents.
• Everything is payable directly to the rental company when picking up your car. No pre-payment is needed.
• At the start of the rental, the car rental branch will put onto the renter’s credit card a hold consisting of the total rental amount and the refundable excess and fuel deposits. Please make sure you have enough funds available on your credit card at the start of the rental to cover all costs and refundable deposits.
• The car rental branches ONLY accept CREDIT CARDS. Debit cards, cash or cheques are NOT accepted. At the discrection of the car rental company, two credit cards may be required.
• Extension fees are available on request and will be charged if you extend directly with the car rental company and not with us.
• All excluded charges are subject to change without prior notice.

Cancellations, changes and extensions: All changes, extensions and cancellations to your car hire have to be done with Car Rental Services by contacting us during our office hours (Mon to Fri from 7.30 to 17.30 and Sat from 8.00 until 13.00). A penalty fee of R250 is payable to us should you not pick up your car (no show).

Driving requirements and minimum age: A valid, unendorsed license is required rent a car. If the license is not written in English you need to have a valid international license. The minimum age for drivers is 23 years, there is no maximum age. If you are aged between 21 and 22 you can drive a rental vehicle, provided you have had your license for more than two years and pay a daily surcharge.

Insurance cover: The car hire insurance covers you against damage and theft. In case of any damage or theft your excess liability on Super Cover is NIL and on Standard Cover your excess liability is between R8200 and R11000. If damage or theft happens outside of the country you are renting from, the local brochure excess of the country you are visiting will apply. Third party cover is also included.

Personal Accident Insurance: The personal accident insurance covers you collectively for disability and death (N$25000) and medical expenses (N$2500) per incident. More details are available on request.

Factors that could negate all insurance cover:
• Gross or Criminal negligence • No other vehicle involved in the collision unless exceptional circumstances apply • Unauthorised drivers – i.e. names of additional drivers not listed on the rental agreement. • Not obtaining authorisation from the rental company to extend the rental • Not reporting damage to the rental company immediately • Not adhering to traffic, road and driving rules and regulations • Driving under the influence of alcohol or any illegal substances • Unsuitable driving or road conditions • Unauthorised cross border rentals • Not being able to produce keys in case of theft unless exceptional circumstances apply • Not reporting exact details of the last known location of the vehicle prior to theft • Not reporting the loss to the rental company within 6 hours.

Cross border rentals:
You must notify Car Rental Services at the time of reservation if you intend to travel across the border. Most vehicle groups are allowed into South Africa, Botswana, Lesotho, Swaziland, Zambia and Mozambique. Before making a reservation please find out which vehicles are allowed accross the border. No vehicles are allowed into Angola and Zimbabwe. The car rental company will issue cross border permits for each country you plan to enter. A crossborder fee is payable for rentals crossing into another country. Neither we, nor the rental company can be held responsible if a renter is refused entry into another country. Any immigration and cross border charges are settled directly at the border.
